At Blendology, we take the privacy of delegates seriously and ensure that their personal data is handled responsibly and in compliance with the General Data Protection Regulation (GDPR). This policy outlines how we collect, use, and protect delegate data provided by event organisers.
1. Data We Receive
For the purposes of event registration and creating digital networking badges, the following delegate information may be provided by the event organiser:
-
Full name
-
Email address
-
Company name
-
Job title
-
Phone number
-
Social media profiles (if applicable)
This data is used solely to create the delegate's badge, which may have networking capabilities depending on the event.
2. Data Usage
Once provided with delegate data by the event organiser, Blendology uses this information to:
-
Create personalised badges for each delegate.
-
Enable the tap-to-connect networking feature, allowing delegates to share information with others at the event through a physical tap of their badges.
-
Track connections made during the event for reporting purposes. Delegates can view and manage these connections post-event via a secure portal.
Delegates who do not wish to share their data with other attendees can opt out at the event. However, key identification details such as name, company, and job title will still appear on their badge for security and identification purposes.
3. Opt-Out Process
Delegates can opt out of sharing their contact details through the tap-to-connect feature at the registration desk. This opt-out ensures that their data is not shared when they tap their badge with others. Opt-outs do not remove essential identification information, which is necessary for event participation.
4. Data Retention
Delegate data is retained for three years to allow continued access to networking connections post-event. After this period, all delegate data is securely deleted. Delegates can access their connections at any time via a secure QR code on their badge or via an email link provided post-event.
5. Data Security
We ensure that delegate data is:
-
Stored on our secure servers with encryption and protected by multiple firewalls.
-
Handled only by authorised personnel within Blendology.
-
Retained within the UK and EU, ensuring compliance with GDPR regulations.
6. Access to Data
Delegates can access and manage their connections during and after the event through a secure portal. If any updates or corrections are required, delegates can visit the registration desk during the event for immediate assistance.
7. Data Sharing
No delegate data is shared without explicit consent. Data is exchanged only when delegates tap their badges together. If no tap occurs, no data is shared.
8. Cross-Border Data Protection
All delegate data is stored on Blendology’s secure servers within the UK and EU. Even when operating events outside these regions, we ensure that delegate data is never transferred outside of GDPR-compliant jurisdictions.
9. Data Breach Notification
In the event of a data breach, we will inform the event organiser and the Information Commissioner’s Office (ICO) within 72 hours. Blendology will never contact delegates directly unless they have initiated direct communication with us during the event.
